Purpose of job

This is an exciting time for the Mayfield Development team (formerly U+I, now part of the Landsec Group). We have a lot to achieve as a team and we're excited about all the opportunity that brings. To help us do that, we need an Administration Assistant to support the team in providing a range of administrative and support tasks in the Manchester (MCR) office.

Based on the Mayfield Development site, this is a varied and busy role, providing essential support to the MCR team. You will be the first point of contact for guests and visitors to Mayfield so making the right impression and helping us create the right atmosphere in the office is really important. You will be a great host - presenting a warm and enthusiastic welcome, preparing meetings rooms and delivering high standards of presentation and food and beverage service where applicable.

Principle accountabilities

  • Provide administrative support to members of the Manchester team.
  • Provide diary management required by the team. This involves coordinating all relevant internal and external diaries and booking meeting rooms accordingly.
  • Act as a 'front-of-house' host for tours, viewings or site visits by contractors/external parties. This includes providing a warm welcome to visitors and guests; preparing meeting rooms; arranging tea and coffee and ensuring the rooms are cleared afterwards in preparation for following meetings.
  • Organise travel and hotel bookings for members of the team.
  • Provide administrative support to members of the team, including filing & scanning.
  • Take and produce meeting minutes as and when required.
  • Printing, binding and distribution of key departmental documents for senior meetings if necessary.
  • Supporting the Office Manager in arranging monthly team meetings and events.
  • Assist the Office Manager and team with document control and archiving. Maintain the team's Contact List and Project Documents, which will involve periodically reviewing older archived items and removing them from the system when appropriate.
  • Respond to general queries raised by both internal and external stakeholders and inform the relevant team member as appropriate.
  • Submission of expense claims for the team as required
  • Undertake any other reasonable duties as instructed.

  • Ability to work under pressure with experience of effectively prioritising tasks and requests.
  • Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint etc.
  • Experience of working well as part of a team to achieve positive results and outcomes.
  • Accuracy and excellent attention to detail.
  • Ability to demonstrate a proactive approach to dealing with different situations and finding solutions to problems.


  • Previous experience of working in a property, real estate or development company.
  • Experience of document control.
