Position: Office Manager Responsible to: Chief Executive Hours: 37.5 hours per week (Part-time, job share and flexible working arrangements considered) Work place: Leatherhead Length of post: Permanent Salary: £33,000 We are looking for an Office Manager to oversee our small but impactful visual literacy charity. The Office Manager will work to the CEO and with our friendly team to ensure the smooth running of the organisation. We need someone who cares about the work we do and can become the go to person in the team, someone who is a self-starter, organised and efficient and can contribute to the many other important tasks required to run our charity. About the Charity Beyond Words was founded in 1989 by Sheila Hollins and her son, Nigel Hollins. Sheila worked as a psychiatrist with people with learning disabilities at St George s Medical School, University of London, and wanted to find a way to help people with learning disabilities communicate what they were feeling and to help them understand why they might be feeling distress, anger, sadness, etc. Nigel, Sheila s son, was already using pictures at home with his family to plan his days and understand ordinary everyday life as well as things that were confusing. These developed into a series of books to support understanding of grief, illness and trauma and many other topics. Books Beyond Words CIO gained official charity status in 2019. In 2022, we launched our new strategy More than Words, an ambitious 5-year strategy that encompasses what we have learned about visual and emotional literacy and sets out how we will scale up our work in education, communities and mental health policy and practice in the United Kingdom. As well as books and ebooks, we also offer: Face to face training and Elearning courses in how to use the Books Beyond Words series The BW Story App: a mobile app available on both Android and iOS Help with setting up local book clubs and reading groups Free leaflets to read online, download and print at home. About the Role The Office Manager will manage the Beyond Words Office in Leatherhead. Duties will include: Ensure that the Beyond Words office runs smoothly, including arranging maintenance, cleaning, caretaking and purchasing office supplies. Establish and maintain office policies and procedures, including Health and Safety and Fire regulations. Setting up and monitoring contracts with customers, funders, partners and associates. Coordinate reporting on funding grants and agreements. Oversight of income and expenditure Financial administration, including making payments and processing finances in Xero Sales Administration Stock Control Publisher Liaison and Administration Staffing Support Communications Support General Administration CEO and Board Support and Secretarial duties. About You Our Communications Manager said this is the best job I ve ever had and we know that the right candidate will feel the same about this role. The successful candidate will have: Experience of managing an office premises Experience of managing competing deadlines Experience of Charity Administration and charity financial administration / governance, including budgeting experience Proven track record in high quality Business Management or Office Administration. Highly Computer literate with experience of MS Office 365, Salesforce/CRM, Xero or accounting software or fast leaner of new systems. Excellent discretion, able to deal with sensitive information and work within data protection laws. Working knowledge of HR Functions and best practice. Additional information Annual leave: 30 days including regular public holidays. Pension: A contributory pension scheme (NEST) is available after completion of probation period; employer contribution is 5% and employee 8%. This post is subject to a three-month probation period. Notice period is two months. This is an exciting time to join the charity as we move into our new premises in Leatherhead.
