Main purpose of the job The role of the Interim Operations Assistant is to provide support to Bond operations, support for CEO, HR administration; facilities and office management and to work across Bond to help with administrative tasks. This is a varied role giving the opportunity to work in a range of work areas, with tasks adapting according to the changing needs of the organisation.

Please note that this is a fixed term position til October 2023

Main responsibilitiesHR Administration

  • Act as first point of contact for staff queries on HR, by monitoring and managing the Bond HR inbox (jointly with Safeguarding & HR Adviser)
  • Provide HR administrative support for recruitment, including:
    • Creating the job vacancy on PeopleHR and advertising the vacancy online
    • Corresponding with candidates and planning interview dates
    • Printing packs for the interview panel and meeting and greeting on the day
    • Gathering references, drafting offer letter and contracts
    • Informing unsuccessful candidates and coordinating feedback with the hiring manager.
    • Support induction and leaver processes for employees and contractors, including allocating software licenses and providing induction on Bond systems (Office 365, PeopleHR, Teams, Slack, Zoom, etc.) and plan inductions with hiring manager.
    • Ensure all staff update HR records and complete relevant forms as appropriate and maintain accurate
    • employee files including new starter and leaver paperwork, pay reviews and change in contract.
    • Keep Bond's organogram up to date
  • Operations and office management, including:
    • Support staff with facilities and office queries and liaise with external contacts.
    • Place regular stationery and other supply orders.
    • Maintain general office area and meeting rooms.
    • Support staff with IT queries and liaise with external IT supplier to resolve issues.
    • Manage IT hardware orders and inventory sections of the fixed asset register and ensure all staff have the necessary equipment.
    • Manage IT software licences and email distribution lists, ensuring these are up to date when staff join and leave Bond.

Support to the CEO

  • Diary management for the CEO
  • Setting up meetings for the CEO, including 1:1s, Senior Management Team meetings and catch ups with members
  • Corresponding with internal and external contacts to arrange meetings
  • Maintaining an overview of upcoming appointments and meeting regularly with the CEO to provide a verbal overview of diary changes
  • Keeping records of meetings up to date on salesforce
  • Maintain and prepare monthly expense and credit card claims for CEO
  • Support with presentations and collating information as required
  • Book necessary travel arrangements for CEO
  • Coordinating monthly staff meetings and stand up


  • Support other teams on projects as required
  • Coordinate Bond team administration, including expenses and credit card claims
  • Other duties as may reasonably be required from time to time

Person SpecificationEssential

  • Previous experience in an HR or office administration role or similar support role
  • Excellent organisational skills, ability to prioritise tasks, manage a busy workload and work to deadlines
  • Excellent customer service skills and a professional, confident "can do" attitude
  • IT proficiency, especially with Microsoft Office
  • Excellent written and verbal communication skills
  • A high level of attention to detail
  • Evidence of team working and build strong working relationships
  • Proactive approach to problem solving and openness to doing things differently
  • Right to work in the UK
